You can add your employees to your Small Improvements account without giving them access immediately. That way, you can prepare your cycles and get everything in place for when they first log in. See here for instructions: Adding and Updating Employees.
Once you're ready to invite employees to log in, you'll need to send them a welcome email with instructions for setting a password. Employees are unable to receive most notifications until they have been sent a welcome mail.
We recommend sending an internal announcement first, letting employees know to look out for their welcome emails and explaining what Small Improvements is all about. Feel free to borrow from our template for inspiration:
Sending welcome emails
Go to your Directory page and select Send welcome mails from the Admin menu above the table.
You'll have the chance to preview the email before confirming.
You can also send a welcome email to a single user by selecting Send Welcome Mail Now in the dropdown menu next to their name.
Hold down Shift to select multiple users.
Customizing the welcome email
Customers on our Elevate plan have the option to customize the welcome email. See here for instructions: Editing Email Templates.
If you are integrating with single sign-on, be sure to update the welcome email template to remove the instructions for setting a password. (Employees will log in using their SSO credentials and will not need to create a new password for Small Improvements.)
Next steps
Once employees have received their welcome emails, you may also want to trigger feature-specific notifications. For example, if you have a review cycle kicking off immediately, be sure to send your launch notifications for that particular cycle as well.
