You can invite guests from outside of your organization to share 360 Feedback and Anytime Feedback with an employee.
Guests do not count toward your user licenses: you can invite feedback from an unlimited number of guest reviewers, free of charge.
Guest users must use an external email address. You cannot add guest users with your company domain.
Guest accounts: Features and limitations
Guest accounts are proper accounts in that the guest will need to set a password; they'll be able to log in and out, save their feedback as a draft, and return to it later. You'll be able to continue inviting them to provide feedback for future cycles. (HR Admins can deactivate a guest account at any time to remove their access.)
Guests cannot access any of your internal data: they cannot receive feedback themselves, access your employee directory, receive most status emails, etc.
Guests can only participate in 360 Feedback and Anytime Feedback where it's explicitly been requested of them and do not have access to any other modules.
What does a guest see?
First, guests will receive an invitation email and need to set a password.
Once logged in, guests will see a simplified version of Small Improvements showing only their outstanding feedback requests as well as feedback they've provided in the past.
Guests cannot give feedback to employees who haven't specifically requested it.
Invitation policy
Go to Admin > Settings > User Management Settings and decide who is allowed to invite guest users.
On. Everybody can invite external guest users. Employees can invite guests without any further approval.
Only HR can invite external guest users. Only HR Admins can invite guests.
Only HR and managers can invite external guest users. Anyone with HR Admin permissions and anyone with at least one direct report can invite guests.
Off. Nobody can invite external guest users. Nobody, not even HR Admins, can invite guests.
How to invite a guest
As an HR Admin
HR Admins can invite guests via the Directory page as they would invite a normal user. Click +Add Users above the table, enter the guest's name and email, and select the checkbox next to Guest. Consider adding a personal message to provide additional context.
As an employee or manager
Employees and managers can invite guests when selecting their 360 Feedback or Anytime Feedback reviewers. Simply enter the guest's email address in the reviewer field.
If 360 Feedback nominations require further approval, the guest will not be notified until their nomination has been approved.
Once a guest account has been created, other employees can also nominate them as a reviewer as they would nominate any other user.
Guest users and SSO
If you log in via single sign-on, you'll need to make sure that you Enable access via login/password so that guests who are not in your SSO userbase can still log in. This setting can be enabled under Admin > Integrations > SAML SSO here:
If you log in via Google Workspace, go to Admin > Integrations > Google Workspace and enable the setting to Provide username/password login panel here:
Toggling guest access
If you decide to turn a guest user into a regular user, find them in your Directory table, expand the menu in the rightmost column, and select Turn Into Account.
