Understanding the differences between HR Admins, Tech Admins, and HR Assistants

There are 3 advanced permission levels you can grant to users who will be helping you administer the account:

  • HR Admins have full access to nearly all user data across the company (with some exceptions for users in their reporting line).

  • HR Assistants can help with most administrative tasks, such as designing questionnaires, setting up review cycles, monitoring participation, and sending reminders, but they cannot access other users' reviews and other sensitive content.

  • Tech Admins can set up integrations and help with basic user management, such as resetting passwords.

We refer to users with both HR Admin and Tech Admin permissions as Super Users.

There are no limits on the number of admins in your account.

Changing permissions

Super Users can assign any role to any user. HR Admins can appoint HR Assistants and other HR Admins.

To manage a user's permissions, find them on your Directory page and select Edit Permissions in the dropdown menu in the rightmost column.

You can also revoke roles here, but you must always have at least one active Super User in your account.

If all of your admins have left the company, please contact our support team for further guidance.

HR Admin

This role is very powerful and should be limited to a few senior leaders. HR Admins can administer feedback and review processes, change the reporting structure, and access confidential data such as performance review content for almost every person in the company.

The key restriction is that even an HR Admin cannot access the confidential data of users above them in the reporting hierarchy.

HR Assistant

The HR Assistant role can be assigned a bit more liberally to members of your HR team who will help you administer the account. HR Assistants can create and edit cycles, see participation status, and send reminders, but they cannot access the actual content of other users' reviews and other sensitive data.

By default, HR Assistants cannot change the reporting structure, but you can give them this ability under Admin > Settings > User Management Settings.

Tech Admin

Tech Admins can configure integrations (including HRIS, Slack, single sign-on, and calendar integrations) and assist with basic user management such as resetting passwords. They cannot see other users' sensitive data like performance reviews.

It can be helpful to assign these permissions to a member of your IT team who is an admin in other systems, since you'll also need to be an admin in e.g. Slack in order to integrate Slack with Small Improvements.

Limitations on HR Admins and Assistants

HR Admins cannot access the confidential data of a user above them in the reporting hierarchy.

Even as an admin, your access may be restricted when using our tools in your capacity as an employee or manager. Some examples:

  • If your 360 Feedback cycle does not allow employees to see their feedback, an HR Admin cannot see feedback about themselves.

  • If your 360 Feedback cycle does not allow direct managers to see feedback, an HR Admin will not see feedback about their direct reports.

  • In Performance Reviews, HR Admins cannot access their direct and indirect managers' reviews.

  • In Objective cycles, HR Admins cannot see protected objectives of users in their reporting line.

Essentially, the visibility permissions of a particular cycle will supersede the HR Admin or Assistant permissions.
