While Small Improvements doesn't have a dedicated "Exit Survey" module, you can easily use the Anytime Feedback feature to build a structured offboarding process. By creating a "Company" user profile, you can centralize all departing employee insights in a single searchable location.
Note: This process is a creative workaround using our existing Feedback tools. It’s a great way to keep more of your people data under one roof.
Ingredient 1: Create a "Company" User
Feedback Requests must be about a specific person in the system. To collect company-wide feedback, you’ll first need to create a placeholder user.
Add the user: Create a new user account named after your company (e.g., "SI Feedback" or "ACME Corp").
Assign access: Ensure your HR team has the login credentials for this account or the administrative permissions to view its feedback.
Ingredient 2: Design your Exit Templates
Before launching the survey, you’ll want to standardize your questions using a template to ensure you get the data you need.
Navigate to Templates: Go to Administration > Anytime Feedback > Templates.
Create tailored versions: You might want different templates for different departments. For example, an "Exit Survey: Engineering" template might focus on technical debt and tooling, while a "General Exit" template focuses on culture and benefits.
Control Usability: To avoid "template noise" for regular employees, set these templates to be used only by Admin users.
Use clear prompts: Use a mix of scale questions for data and open-ended questions for qualitative insights.
Ingredient 3: Launch the Feedback Request
Once your "Company" user and templates are ready, you can invite the departing employee to share their thoughts.
Start the request: Click Create > Anytime Feedback > Feedback Request.
Select the Reviewee: Choose the "Company" user you created in Ingredient 1.
Title for clarity: Give the request a specific title, like "Exit Survey: [Employee Name] - [Date]".
Invite the reviewer: Add the departing employee as the Reviewer.
Attach the template: Use your customized Exit Interview template at the Questionnaire stage of the form. Now you have the right questions aimed at the correct reviewer.
Set Permissions: Under the Visibility settings, ensure the "Company" user (the reviewee) can see the feedback. This ensures the data is funneled to that central account.
Ingredient 4: Reviewing the Insights
When it’s time to analyze your data, you have two ways to view the results:
The Admin View: As the creator of the request, you can see all responses under Admin > Anytime Feedback > Insights
The Centralized View: For a cleaner experience, log in as the "Company" user and navigate to their Feedback page under Your Feedback. You will see a dedicated list of every exit survey ever completed, free from the "noise" of other company feedback.
